Our team is growing, we are currently recruiting for a Project Administrator, to join our team in our Brisbane office.

About the role  

  • Management of administration for the project team
  • Completion of purchase orders
  • Coordinate project team under the direction of Project Manager to ensure project delivery in line with schedule
  • Collecting and analysing data and reporting on outcomes
  • Coordination of the onboarding of contractors
  • Collating and formatting documents
  • Provide document control support
  • Organisation of meetings and events, including issuing of minutes
  • Assist project teams in locating documentation in the relevant Document Management Systems (Aconex/SDx) 
  • Register documentation from internal and external sources by promptly and accurately recording details and filing in appropriate locations. 
  • Complete general Document Control activities such as filing, email management, distributing of data and receipt of data.    
  • Set up and maintain a controlled hard copy set of drawings 
  • Register incoming site vendor data where necessary and circulate for review 
  • Return reviewed vendor data to the Perth Office (or Contractor) as required 
  • Transmit ad hoc data to sub-contractors as requested by site teams
  • Register site generated data into the DMS 
  • Run reports as requested for both internal and external parties 

About you  

  • Demonstrated experience in a high-level administration role in an engineering/project environment required
  • Advanced computer literacy in word processing, spreadsheets, databases and desktop publishing
  • Strong organisational and time management skills required
  • High attention to detail
  • Strong verbal, written and interpersonal communication skills
  • Ability to work within a confidential manner 
  • Proficient use of Microsoft Office and SharePoint required
  • Prior use of document management systems including Aconex and SDx would be highly regarded
