Our team is growing; we are currently recruiting for a Project Administrator to join our team in our Newcastle office. This role will initially be offered on a casual basis, with a view to permanency.

 

About the role  

  • Provide administrative and project support with a strong focus on cost tracking and financial coordination across projects.
  • Assist in the preparation, validation, and processing of work orders, purchase orders, and variations, ensuring alignment with project budgets and approvals.
  • Support project set-up activities, including financial and system set-up (e.g., project codes, cost structures, and baseline inputs).
  • Maintain and update cost trackers and basic forecasting inputs, ensuring data accuracy and consistency with internal systems (e.g., Oracle, Excel trackers).
  • Assist Project Managers and Project Controls with monitoring project performance, including tracking actuals vs forecast and highlighting variances.
  • Support weekly and monthly reporting cycles, contributing to financial summaries, earned value inputs, and project status updates.
  • Follow document management and workflow processes, ensuring financial and project documentation is properly recorded and auditable.
  • Assist with data consolidation and reporting for internal and client-facing deliverables.
  • Coordinate with internal stakeholders (Project Managers, Cost Controllers, Finance) to ensure timely and accurate financial information flow.

About you  

  • Experience in an administrative or project support role, ideally within an engineering, consulting, or project-based environment, with exposure to cost or financial processes.
  • Experience or strong interest in Project Controls or Cost Control is highly desirable.
  • Understanding of basic project financial concepts (budgets, actuals, forecasting, cost tracking) or willingness to develop in this area.
  • Intermediate to advanced skills in Microsoft Excel and data handling, with attention to detail and data accuracy.
  • Familiarity with systems such as Oracle, EcoSys, or similar project/financial tools is advantageous but not essential.
  • Strong organisational skills with the ability to manage multiple tasks and support structured reporting cycles (weekly/monthly).
  • Good communication skills and ability to work closely with Project Managers and multidisciplinary teams.
  • Proactive mindset with a willingness to learn and grow into a Project Controls / Cost Controller pathway.
