Our team is growing, and we are seeking a Project Administrator to join our Brisbane office.
This is an excellent opportunity for an organised and detail-oriented professional looking to build their career within a global engineering and project delivery organisation. Working closely with Project Managers, Project Controls and Finance teams, you will play an important role in supporting project administration, cost tracking, reporting and financial coordination across a diverse portfolio of projects.
About the role
As a Project Administrator, you will:
- Provide administrative and project support with a strong focus on cost tracking and financial coordination across projects.
- Assist in the preparation, validation and processing of work orders, purchase orders and contract variations, ensuring alignment with project budgets and approvals.
- Support project setup activities, including financial and system setup such as project codes, cost structures and baseline inputs.
- Maintain and update cost trackers and forecasting inputs, ensuring data accuracy and consistency across internal systems.
- Assist Project Managers and Project Controls teams with monitoring project performance, including actual versus forecast analysis and variance tracking.
- Support weekly and monthly reporting cycles, contributing to financial summaries, project status reports and performance metrics.
- Follow document management and workflow processes, ensuring project and financial documentation is maintained accurately and is audit-ready.
- Assist with data consolidation and reporting for both internal stakeholders and client deliverables.
- Coordinate with Project Managers, Cost Controllers, Finance and other key stakeholders to ensure timely and accurate information flow.
- Provide general project administration support to assist with the successful delivery of projects
- Organise and coordinate travel and accommodation for team members
About you
To be successful in this role, you will bring:
- Previous experience in an administrative, project support or project coordination role, ideally within an engineering, consulting, construction or project-based environment.
- Exposure to project cost management, financial administration or project controls processes will be highly regarded.
- An understanding of project financial fundamentals, including budgets, forecasting, cost tracking and reporting, or a strong willingness to learn.
- Intermediate to advanced Microsoft Excel, Word, and PowerPoint skills with strong attention to detail and data accuracy.
- Experience using systems such as Oracle, EcoSys or similar project and financial management platforms will be advantageous.
- Excellent organisational skills with the ability to manage multiple tasks and competing priorities.
- Strong communication skills and the ability to build effective working relationships across multidisciplinary teams.
- A proactive, team-focused approach and a commitment to delivering high-quality outcomes.
