We are currently looking for an Office Administration coordinator to support our project team in our South Brisbane office. This role will be offer on a fixed term basis until December 2027.

 

In this role, you will:

  • Act as the first point of contact for the Project Office, welcoming visitors and managing general enquiries
  • Ensure office areas are well maintained, including meeting rooms, kitchen facilities, office supplies, and coffee machines
  • Format project documentation in line with company templates, maintaining accuracy and consistency
  • Support document control activities, including numbering documents and updating the Deliverables Register under guidance
  • Upload, organise, and maintain records in SharePoint to ensure documents are easily accessible and well structured
  • Assist with meeting coordination, including booking rooms, preparing materials, and taking basic notes when required
  • Provide administrative support to the Project Administrator as needed
  • Assist in tracking action items and following up on requests to ensure timely completion

About You

  • Strong attention to detail with a high level of reliability
  • Eagerness to learn and develop an understanding of project processes and systems
  • Proactive approach to managing administrative tasks, with the ability to identify and raise issues early
  • Available to work full-time onsite, Monday to Friday
  • Ready to commence immediately
