Office Services Coordinator (14-Month Term) - Calgary

Our team in Calgary is currently recruiting for an Office Services Coordinator to join us on a 14-month term. This position is 4 days a week, Monday to Thursday.

 

About the role:

  • General reception duties such as answering and transferring incoming reception calls, greeting clients, receiving visitors, and providing building access.
  • Oversee and coordinate the purchasing of supplies.
  • Receiving and coordinating vendor arrivals and deliveries.
  • Coordinate with building management, occupants, vendors, and contractors to provide oversight for building maintenance and repairs (plumping, electrical, carpeting, windows, etc.).
  • Support with physical document archiving and shredding processes.
  • Provide facility assistance to HSE Coordinator to maintain a safe and efficient workspace for all occupants.
  • Provide physical onboarding and offboarding services including but not limited to management of document storage and recycling, desk clearing and assignment, security, office assess and equipment returns.
  • Meeting resource management including meeting room set up and clean up, meeting room booking, coordination of vendor lunches, and coordination of catering if needed.

 

About you:

  • Proven experience in facilities coordination, office management, or administration.
  • Strong customer service and communication skills, with the ability to interact professionally with employees, clients, vendors, and stakeholders
  • Highly organized with excellent multitasking abilities
  • Experience supporting office operations and facilities management, including space coordination, vendor management, and maintenance oversight
  • Detail oriented with solid administrative and technical skills
  • Proactive and solution-oriented mindset with the ability to work independently, coordinate projects (events, onboarding, offboarding and office moves), and maintain a safe, well functioning work environment

Salary range: $45,000 – $52,000/annually

 

Expected Salary: Variation in salary is determined by factors such as qualifications, relevant years of experience, and prevailing market conditions for the specific role.
