Our team in Vancouver is growing; we are currently recruiting for an Office Services Coordinator to join us.

 

About the role:

  • Oversee physical plans in Vancouver office, including monthly inspections, predictive maintenance, and budget planning.
  • Perform daily walk-throughs of the office and complete checklists as outlined in the Pender Office Manual.
  • Coordinate and maintain first aid and emergency supplies for Vancouver offices.
  • Process and verify facilities-related invoices for Vancouver offices.
  • Prepare and manage weekly/monthly/quarterly attendance reports and oversee desk-booking app administration.
  • Coordinate catering and meeting logistics, including boardroom bookings, setup, and cleanup.
  • Coordinate onboarding and offboarding processes, including office tours for new staff.
  • Receive and create purchase orders (POs) in Oracle.

 

About you:

  • Proven experience in facilities coordination, office operations, or workplace services
  • Working knowledge of facilities operations, including inspections, maintenance coordination, space planning, inventory management, and vendor oversight.
  • Experience supporting health and safety programs, including first aid coordination, emergency preparedness, PPE management, and participation in safety committees (or willingness to obtain First Aid Level 2).
  • Strong administrative and financial skills, including invoice processing, or PO creation
  • Ability to coordinate office moves, renovations, and CAPEX‑related activities
  • Excellent communication, organization, and stakeholder‑management skills

Salary range: $45,000 – 50,000/annually

 

Expected Salary: Variation in salary is determined by factors such as qualifications, relevant years of experience, and prevailing market conditions for the specific role.
