Our team in Canada is growing and we are currently recruiting for a Project Administrative Assistant to join our Minerals and Metal Business team in the GTA (Toronto or Burlington)

This role is part of the project services department and involves working closely with project managers and the project team to maintain the project’s foundation to achieve its goals.

 

About the Role

  • Facilitate the preparation, review and issue of timely and accurate project reports, including dashboards and registers
  • Ensure project team adheres to provided timelines and deliverables
  • Ensure documentation is maintained throughout the length of the project
  • Maintain project organisation charts
  • Communicate plans, actions, risks, and issues with key stakeholders
  • Manage and build relationships with multiple teams - Collaborate between discipline leads and offices – external and internal.
  • Manage day-to-day activities for the Project Management team
  • Analyze project data and produce progress reports
  • Develop and process various documents including agendas, reports, meeting minutes and general correspondence from a wide variety of material such as written drafts, meetings or other sources. 
  • Assist with project procedure for travel and lodging
  • Other administrative duties as requested

About You

  • Preferably a diploma / certificate in business or office management.
  • 6 to 10 year’s related experience in administrative role, preferably in an engineering consulting firm
  • Excellent verbal and written communication skills.
  • Able to manage time effectively
  • Strong attention to detail
  • Strong computer skills in MS Office, MS Project and Adobe.
  • Strong formatting and editing skills
  • Able to provide administrative support to multiple people
  • Track record of taking initiative to resolve a range of administrative problems and inquiries quickly
