Office Administration Coordinator

Our team is growing, we are currently recruiting for a motivated Office Administration Coordinator to join our team in our Perth office. The role is a permanent full-time position, an immediate start available.

 

About the role

  • Act as the primary point of contact for the office and provide a welcoming atmosphere for employees, clients and suppliers.
  • Operate the main switchboard and answer all incoming calls.
  • Coordinate couriers, ensuring timely and efficient processing, and take receipt of incoming deliveries.
  • Coordinate maintenance issues with suppliers and building management
  • Ordering of stationary, PPE and office supplies.
  • Support the executive team for various administration tasks when required.
  • Maintain reception area and all office environments cleaned, organized and well stocked.
  • Support project teams by assisting with site enquiries, expediting, engineering and procurement. This includes the completion of purchase orders for travel and other project related expenses when required.
  • Communicate with relevant departments to ensure that project requirements are met
  • Deliver a seamless onboarding experience, welcoming new starters and conducting building inductions.
  • Keeping internal databases updated 
  • Collating and formatting documents 
  • Manage meeting minutes 
  • Assist in coordinating social club activities when required.

  • Good organisational and time management skills.
  • High attention to detail.
  • Ability to work in a confidential manner. 
  • Excellent telephone answering technique.
  • Well-presented & interpersonal skills
  • Strong verbal & written communication skills.
  • Effective working with a variety of teams
  • Efficient multitasking and prioritising skills.
  • Proficient Microsoft Office skills.
  • Self motivated with a track record of success working autonomously.
  • Minimum 2 years prior experience in an administration/reception-based role preferable.
